Workshop Coordinator

Hours: 20 hours a week

Compensation: $24/hr

Position Summary:

The Workshop Coordinator will develop and manage all aspects of workshops offered at Ragfinery, including planning, organizing, and promoting various textile arts workshops. They will maintain an instructor database, adhere to budget restrictions, and ensure workshops are well-equipped and well-attended. This role also involves creating marketing strategies, coordinating/supervising instructors, and managing administrative tasks to support the smooth operation of each and every workshop.

The onset of this position will be working closely with the Executive Director to fully build out the newly acquired workshop space. This will include assisting in the design of the new space, storage solutions, decor, as well as collaboration in fundraising activities to purchase all required materials and fixtures. 

This position is a hybrid position that can be partially worked from home for administrative aspects/tasks but in person for coordination and implementation of all activities is required. 

Primary Responsibilities:

  • Develop and release seasonal workshop/camp schedules

  • Plan and organize various types of workshops/camps each season

  • Create and maintain an instructor database with contact information, rates, and skills

  • Identify and contact potential instructors, prioritizing volunteers

  • Finalize dates and times for workshops in coordination with instructors

  • Ensure workshops maintain a balanced seasonal budget

  • Calculate costs including instructor fees, supplies, and promotional materials

  • Collaborate with instructors to create promotional materials

  • Implement a comprehensive marketing strategy for each workshop/camp

  • Keep records of class attendees and send reminders prior to classes

  • Prepare and file instructor contracts and necessary documentation

  • Ensure all supplies and materials are ready for workshop days

  • Gather feedback from participants and instructors and review financial outcomes

  • Working closely with Program Manager for social media, newsletter and community engagement 

  • Working closely with Retail Manager for collaboration and space sharing as desired/implemented

Other Duties:

  • Data entry

  • Keep the classroom clean, organized, and stocked as needed

  • Training staff on duties and tasks that are involved with the classroom

  • Development of additional space for other future use 

  • Other duties as assigned

Desired Skills and Experience:

  • Experience in program development and management 

  • Experience in supervision of staff and or volunteers

  • Self-directed and works well independently 

  • Working experience with spreadsheet/tracking forms and a variety of social media platforms

  • Enthusiasm for textile arts, waste diversion, and working with a variety of workshop instructors and participants 

  • General knowledge of a variety of fiber art techniques 

  • Strong creative problem solving skills 

  • Excellent communication and interpersonal skills

  • Ability to manage budgets and handle administrative tasks efficiently

Work Environment:

  • Hybrid work setup with flexible hours.

  • Weekly staff meetings.

  • On-site presence for workshop coordination and setup.
